County Health Center Looks Toward a Paperless Future with
Scanning and Archiving

Challenged by paper documents hampering
clinician workflow, Rooks County Health Center (Plainville,
KS) recently made a move toward a completely electronic
environment, with the decision to implement MEDITECH's
Scanning and Archiving product. Leaders at the facility
expect to improve their access to and storage of clinical
data, while also meeting long-term patient safety goals.
“Starting April 1st, all nursing notes, laboratory
results, physician dictated reports, and pharmacy records
will be scanned into the system," says Janae Ryan,
director of health information management at Rooks County.
"Once we start scanning, care providers will be able to
quickly and easily access all previous medical information
and results on their patients."
The software will enable Rooks County to generate and safely
maintain complete, secure, and legal medical records. Because
archived information will automatically be stored in the
system, the hospital will also be able to cut down on their
paper form production expenses, and reduce the time it takes
to get patient release information. The facility will also
reduce their risk of liability due to lost documentation.
In addition, Rooks County will also improve the organization
and management of their enterprise-wide documents by:
Bridging the gap between paper and electronic data
Providing caregivers with information after a patient's discharge from the hospital
Minimizing clerical efforts, such as filing and emergency visit paperwork, in the Health Information Management Department
Standardizing forms
Allowing physicians to electronically sign documents within the system.
"Patients
will soon notice their insurance cards and identification
information will be scanned instead of photocopied,"
adds Ryan. "Implementing new technologies such as
Scanning and Archiving will certainly improve patient
satisfaction and care hospital-wide. We are very excited and
eager to begin our electronic transformation."
